The General Affairs (GA) Supervisor is responsible for leading a team dedicated to the administrative activities of the company and for facilitating the smooth running of the office, handling all procurement as well as providing key support to the accounting team. The role of GA Supervisor reports directly to the Head of HRGA Department.
Key Responsibilities
Office Management
- Ensure smooth office operations, including rent, utilities, equipment, and facilities.
- Maintain office layout, cleanliness, safety, and security.
- Oversee repairs, maintenance, and inspections of the office, vehicles, and other assets.
- Manage reception and general office services.
Team Supervision
- Lead and mentor the GA team (Receptionist, Office Helpers, Driver).
- Manage schedules, training, and performance evaluations.
Administrative Support
- Monitor employee cash advances and support payment processes.
- Check and process business expense claims and travel arrangements.
- Assist with document preparation for payment and bank uploads.
Procurement
- Manage procurement of office, IT, and facility needs from sourcing to delivery.
- Handle vendor selection, negotiation, documentation, and compliance.
- Coordinate with Accounting to record assets properly.
Inventory Management
- Oversee stock of office supplies and dry goods.
- Ensure accurate monthly stock counts and reconciliations.
- Plan purchases to avoid shortages or excess.
Records & Storage
- Maintain proper document archiving and storage according to SOPs.
- Implement and update administrative systems.
Collaboration & Reporting
- Work closely with Accounting, IT, and other departments.
- Provide advice on GA-related needs and propose improvements.
- Prepare periodic reports, update SOPs, and track KPI achievements.
- Handle ad-hoc tasks as needed.
Requirements:
- Strong organizational skills, attention to detail, integrity, and professionalism.
- Excellent communication skills and proficiency in English.
- Computer literate (especially Excel); good with numbers and reconciliations.
- Experience in secretarial functions and building automation systems.
- Proactive, solutions-oriented, collaborative.
- Creative thinker with a strong sense of ownership and progress.
